Case Study: Automating Processes During Parental Leave

Client: Mid-size digital agency (120 employees)

Challenge: The client’s Resource Manager went on maternity leave for 5 months. Their resourcing process lived in Google Sheets, manually updated every Friday. With 40+ projects and 20+ designers, the manual updates were error-prone and time-consuming. Leadership worried about bottlenecks without someone in the role.

Our Approach:

  • Stepped in as interim PM support, learning their resourcing model in under a week.

  • Designed and deployed a Google Apps Script to:

    • Auto-pull data from project trackers into the master resourcing sheet.

    • Highlight overbooked or underutilized staff with conditional formatting.

    • Send weekly snapshots to team leads via automated email.

  • Documented the entire system for the returning Resource Manager.
